Find the friction
Begin with a recurring task that takes too much time, creates errors or leaves useful knowledge difficult to access. Map the current workflow before choosing a tool. Who performs the work? What inputs do they need? Where does the result go?
Define a useful outcome
Choose a measure that relates to the actual task, such as turnaround time, rework or the quality of a first draft. Document a baseline. Decide what needs human review and what information must remain protected.
Run a bounded pilot
Give a small team a clear use case, approved inputs and a review process. Compare results with the existing approach. Look for both benefits and new burdens, including verification and training.
Make adoption part of the work
If the pilot is useful, clarify ownership, document the revised workflow and support the people using it. Continue checking quality as usage grows. The objective is a better way of working, with AI serving that objective.
